Rotary District 5400 has developed a contest to renew enthusiasm for visiting other clubs and to boost Rotary membership. Yes, I said contest—there are prizes! Participating is easy. Here’s all you need to do:
  1. Go visit a different club. If it’s in our district they’ll be participating in the contest, too, but we get more points for extra-district visits. Two helpful resources are pasted below: a list of clubs in D5400 that have virtual meetings, plus some tips. Or if you’re travelling, use the Rotary app or website to locate clubs where you are.
  2. Invite a guest to our club meetings. Consider who the speaker will be and think of someone you know who would be interested in that topic. Then simply invite them and share our meeting details. They’ll probably be flattered you thought of them. It’s so easy, and these days there isn’t even a lunch to pay for! Colleagues, clients, family members... they're all fair game.
  3. Let me know. You can request an official “passport” from Lisa Vetter if you want to use a booklet to keep track of your own visits, but I’ll also do it for our club centrally, if you just let me know about your visits and your guests.

D5400’s Building Goodwill & Better Friendships Tour 2021
Best Practices Guideline

  1. Please update your name on your Zoom account to be the name you usually go by (something silly like “pandemic princess” only works when EVERYONE already knows who you are!)
  2. PLEASE include the club you represent in your name so it’s easier to tell that you are a Rotarian and not a random Zoom Bomber. Some clubs have a greeter that has to admit people on an individual basis. If they don’t recognize you by name, at least your club name will give them the information that you should be safe to let join their meeting.
  3. If you have friends in the club that you’re going to visit, give them a heads-up so that they will be expecting you as a guest. If you don’t have friends there already, reach out to the club president (or someone on their leadership team) and let them know you’ll be there, whenever possible.
  4. Please turn your camera on (when appropriate) when visiting. That’s kind of the point, right? Let’s get out there and see each other! Also, please update your profile picture. This helps the host and others recognize you in the “Waiting Room” or if your camera is off.
  5. Remember to stay muted unless speaking, especially if eating or drinking (please use your best manners and judgement depending on the situation)
  6. When asking a question, pause. Count to 10 to give people a chance to get off of mute. 10 can seem like a long time…depending on the group, counting to 7 may be long enough.
  7. Some people can read lips. Be careful what you say, even on mute.
  8. Zoom does NOT automatically update, unlike many other apps. This must be done manually. You can find the information on the opening Zoom page. Staying updated allows you to use many fun features like virtual backgrounds and the “dress up” tools.
  9. If you are uncomfortable going out on your own to visit a different club, pick a travel buddy from your own club and attend together! You’ll not only see a friendly face, you’ll share a Rotary experience together.
  10. Please disconnect with devices so that you can fully engage in the visiting experience. As much as possible, close additional apps/open windows/etc. and turn off notifications. Apps take up bandwidth even when not in use and can create a distraction. Consider putting your phone in another room or at least turning off sounds/notifications. Research shows that just having a phone present will impact your ability to contribute fully.
  11. Connect early. Log on early to verify link, connection, and functionality. Sometimes links change and passwords are sent at the last minute. If you wait to log on, you could end up being late, miss something, or join in a frazzled state.
  12. Adjusting camera to be at eye-level and displaying your shoulders is shown to build trust and understanding because we communicate heavily through eye contact and body language.
  13. Practice being patient with yourself. Meeting virtually is new technology that takes practice to master.
  14. If you get logged off or lose connection, just log back on! No need to interrupt conversation with an apology. We’re human, it happens.
  15. Dogs bark and kids will not stop being children just because you’re on a call. These “little interruptions”, however, are part of what makes life rich – modeling graceis the best way to move through disruptions.
  16. HAVE FUN!!!
